MR/DD Contract Management Application

The client: The County of Summit Board of Mental Retardation and Developmental Disabilities (CSBMR/DD) provides services to more than 3,900 individuals with disabilities and their families in Summit County.

The challenge: CSBMR/DD had a large number of contracts outstanding with a variety of vendors, but managers and other stakeholders did not have a convenient way to view information about these contract obligations, access related documents, view payments that had been made against them and receive notification when they were expiring.

The solution: iData implemented a secure intranet application that provides CSBMR/DD staff with information about contracts including relevant dates and contract amounts, payments and access to contract documents.  The application interfaces with CSBMR/DD's accounting system to import information about payments made against contracts stored in the system, and authorized staff can edit contract information through a backend administrative interface.

A search feature allows CSBMR/DD staff to search for particular contracts by contract number, PO number, vendor, board resolution number, responsible staff member or keywords.

The results:CSBMR/DD staff are now able to view and manage contract information in a secure online manner.  The application sends notices 30 days before contracts expire, staff are able to view contract summary information and payments through the application screens, and if detailed questions arise, staff are able to view the contract documents online.
