Membership Management

The client: An international association of technology professionals, whose mission is to provide professional skills development, certification, education and advocacy on issues of interest to members.

The challenge: IAITAM was experiencing rapid growth as it became the recognized leader in its industry for training and certification and became a key voice for members in dealing with regulators and other outside interests. The client had a Web site that was a key resource for members, but the labor intensive process required to maintain the site, publicize events and training classes to the site, and process event and class registrations was threatening to overwhelm the client’s staff.

The solution: iData worked with IAITAM to redesign their site based on the Synapse Publisher content management system, the Membership Manager membership administration system and the Event Manager online event registration system. The new site allows the client to easily communicate with members through the Web site, publicize upcoming events and handle online registration for those events. In this case, like others of organizations iData had worked with, an online registration system had previously existed that allowed event registrants to pay for events online, but no verification of credit card numbers was done, and credit card details had to be downloaded from the event registration system back end and manually processed. With Event Manager, online event registration is completely automated, no re-keying of credit card numbers is required and there is no risk of not being able to collect for declined cards.

One of the key goals of this organization is to provide value to members, particularly member organizations that purchase memberships with higher levels of financial commitment. Using Publisher and Membership Manager together, the organization is able to make a substantial amount of knowledge resources available to members only, with a smaller set of resources available to users who register online for a free site membership. In addition, members can easily be offered special members-only prices on event and class registration.

The results: Staff time devoted administrative tasks of event and membership management has been reduced, and the effort required to update the website has been substantially reduced. IAITAM’s sales and marketing staff has been able to implement new incentives for joining the organization, and all staff members have been able to spend more time on core member services and less on administration.
